What is time management and why is it important?

Time management is the process of planning, organizing and controlling how much time you spend on any given activity to achieve your goals.
Managing time well is all about understanding your priorities and making conscious choices about how you use your time. When you practice effective time management, you :
- focus on high-priority tasks ;
- reduce time spent on low-value activities ;
- avoid unnecessary stress ;
- don’t miss your deadlines.
Rather than reacting to every task that comes up on the fly, proper time management involves planning your day, week and month to ensure a balance between short-term and long-term objectives.
There are several ways you can improve your time management process, but all of them allow you to allocate time to each task in a very efficient way, plus it will help you visualize upcoming projects, urgent tasks and deadlines. And it also works the other way around as having a structure gives you visibility on available time slots for rest, learning or creative pursuits.
The end-game here is to create a balanced approach to time where productivity and well-being coexist, so that you don’t burnout.
The benefits of good time management
Mastering time management skills brings multiple benefits, both to your personal and to your professional life.
One of the most significant of these benefits is an increase in productivity. Indeed, when you know what to focus on and when you’re less likely to waste time deciding your next steps then you’ll complete tasks faster, more efficiently and with overall better results.
Another benefit has to do with stress. Thanks to structured approaches such as time management, you will likely feel less overwhelmed or rushed. Strategies & techniques to help you with time management
Prioritization of tasks
Learning to prioritize your tasks is one of the most critical aspects of time management. Prioritization can be done by breaking tasks down into categories based on their urgency and importance. Which in the end allows you to focus on what truly matters.
The Eisenhower Matrix – which is also helpful against procrastination – is the perfect tool for the job. This is a table made of two rows and two columns, so there are four categories of task priorities :
- urgent and important ;
- important but not urgent ;
- urgent but not important ;
- neither urgent nor important.
Tasks that are both urgent and important obviously need to be performed first, while tasks that are neither urgent nor important can often be eliminated or at the very least, delegated.
The 80/20 rule, also known as the Pareto principle, is yet another useful prioritization method. According to this principle, 80% of results often come from 20% of your efforts. This means that a small number of tasks contribute to the majority of your progress. For example, if you’re managing a big project, prioritize the 20% of tasks that will bring about 80% of the results, such as critical sales meetings or project milestones. In other words, use most of your time for high-impact action.
Skills & tools for planning and organizing
As we pointed out previously, effective time management requires thorough planning and organization.
Planning simply is these three things:
- breaking down tasks into actionable steps ;
- setting achievable goals ;
- scheduling time to work on them.
Start by outlining your goals for the foreseeable future (a few weeks down the line) then decide how much time each of them requires. This is where tools like weekly planners, project management apps or digital calendars come in handy as they help you see your tasks laid out visually. Planning your week helps you anticipate any distractions or interruptions and allows you to block off time for focused work.

The Pomodoro technique is a proven time management method that structures work sessions with periodic breaks. Typically, you work during 25-minute intervals, known as “Pomodoros,” and then you take a short break of about 5 minutes. Why is it called Pomodoro ? Simply because its inventor, Francesco Cirillo, calme up with it, using a kitchen timer shaped as a tomato, which is called ‘pomodoro’ in Italian.
Let’s get back on track, after completing four Pomodoros, you take a more extended break of 15–30 minutes. And then rinse and repeat.
This approach is quite effective because you stay intensely focused on tasks while taking regular, timed breaks to prevent mental fatigue. Plus, the Pomodoro technique can be customized ; for instance, some prefer using 45-minute intervals if that suits their focus better.
Time blocking and batching
Time blocking consists in setting specific blocks of time in your schedule for different types of tasks. For instance, you choose to dedicate the morning to high-priority tasks, reserve afternoons for meetings and leave evenings for planning the next days. Time blocking has the advantages of minimizing distractions and creating a structured workflow, so you are free to concentrate on a single activity without risks of multitasking.

Batching is another powerful technique, where you group similar tasks and tackle them together. For instance, you might want to batch administrative tasks like emails and follow-ups and handle them in one block of 2 hours rather than on multiple instances spread throughout the day. Batching helps you stay in one “mode” of work : you improve your productivity and reduce the mental effort you need to switch between tasks. When you batch tasks, you are not easily interrupted and as a result you gain more control over your work time.
Our tips in time management
Eliminate distractions
Distractions are one of the main hurdles to effective time management. You need to remove them in order to protect your focus and productivity.
To achieve this, start by creating a workspace that supports concentration. For instance, if you find social media distracting, consider using apps that block access to certain sites while you work. You might also want to inform coworkers or family members of your working hours to minimize unexpected interruptions. Setting up your environment for focused work can dramatically save you time.
You also need to manage unexpected events. If an urgent task comes up during your work period, make the call: does it genuinely require immediate attention? If it doesn’t, schedule it for later to avoid disrupting your current focus. Remember, you won’t efficiently achieve your goal if your focus is flimsy.
Set boundaries and learn to say “No”
If you accept every request that comes your way, you risk putting too much work on your plate and losing your mojo. When a new task or commitment comes up, ask yourself whether it aligns with your priorities. If it doesn’t directly contribute to your goals or if you’re already hard pressed for time, don’t hesitate to decline politely.
Setting boundaries also applies to yourself! Once you have decided on a specific amount of time for a task, stick with it! The bottomline is: just protect your time from low-priority obligations to stay on track with your own goals.

Technology offers numerous tools to assist with time management. Digital planners and time-tracking apps such as:
Each of them provides an organized space for scheduling, monitoring progress and maintaining focus. These apps allow you to track how much time you dedicate to each task, so you get insights into areas of improvement and easily manage many projects at the same time.
Tools like Google Calendar also allow you to share your schedule with colleagues and set up reminders for appointments. It might be a good idea to integrate these tools with task management software to streamline project planning. In fact, there are dozens of ways technology can make time management quicker and more straightforward.
Work on your morning routine
Your morning sets the tone for the rest of the day: if you approach the tasks at hand with purpose and energy, you will surf on it until you get back home and sometimes beyond.
So, begin by setting a consistent routine, such as reviewing your day’s goals, planning time blocks for essential tasks and taking time for personal development activities like journaling or meditation. The idea behind this routine is to mentally prepare, so you’re less likely to feel rushed or stressed.
Consider incorporating a few energizing habits, like exercise or a balanced breakfast, to boost focus and productivity. With a bit of structure and healthy habits, you’ll be better equipped to handle the demands of your schedule and approach your goals with a clear mind.
Practice self-care and take breaks
Speaking of healthy habits, conversely, when you’re continually working without a break, your energy and focus will decline. Incorporate breaks into your schedule (remember, the Pomodoro technique!). These breaks keep your mind sharp and contribute to keep you motivated throughout the day.
Don’t overlook self-care activities like exercise, healthy eating, and adequate sleep. Time management is pointless if you’re in no physical or mental condition, because then you will lack energy and focus no matter how smart you planned your day.
Reflect and adjust your approach
Lastly, make a habit of pondering over your time management strategies, for the sake of continuous improvement. At the end of each week, make assessments on:
- What worked?
- What didn’t?
- Were there tasks that consistently took longer than expected?
- Did certain times of day prove more productive?
When you reflect on these questions, it gets easier for you to identify patterns and adjust your approach as needed. In any case, time management is an ongoing process that evolves with your goals and lifestyle. By regularly evaluating your strategies and adjusting accordingly, you ensure that your time management practices remain effective and aligned with your goals and priorities.
All in all, time management done right is a matter of habits: you cannot improve it overnight, yet it doesn’t mean it has to be a complex and painful process. While you absolutely should do everything you can to rationalize and optimize your timetable, you can do it incrementally, bit by bit. As a matter of fact, it might yield even better results than trying to cram all the tricks and techniques from week 1. Take time to manage your time and once you’ve begun, you’ll never go back!
